Respond inside the 14 calendar day window

BBB says a complaint is forwarded to the business within two business days, and the business is asked to respond within 14 calendar days of the filing date. If nothing arrives, BBB sends a follow up. Complaints are generally closed within about 30 calendar days. Answering is the part you fully control.

BBB assigns every closed complaint one of five published statuses: Resolved, Answered, Unresolved, Unanswered or Unpursuable. Resolved means the complainant confirmed the issue was settled to their satisfaction. Answered means you addressed it but the consumer did not accept the response or never told BBB. Unanswered means you never replied.

Everyone who opens your profile reads that word. A removal argument takes weeks and often fails. Changing that status takes one careful reply inside a deadline you already know.

Test the complaint against BBB Complaint Acceptance Guidelines

BBB publishes the criteria a complaint must meet to be accepted, and that document is your removal argument. The complainant must have had a marketplace relationship with your business. The issue must typically have arisen within the previous 12 months. The matter must not be in litigation when filed or already settled. The text must contain no abusive language or serious threats.

BBB also lists what it does not handle: employer and employee disputes, complaints about government agencies, complaints against individuals not engaged in business, issues based only on dissatisfaction with price, buyer remorse, and anonymously filed complaints. Consumers are limited to one complaint against the same business within a 24 month period.

Name the criterion. Do not argue that the complaint is unfair. There is no line in the guidelines for unfair.

Dispute a customer review on the interaction, not on the opinion

Reviews run a different test. BBB says it confirms a marketplace interaction took place between reviewer and business, then lets the business respond. It validates the reviewer email or phone, refuses anonymous reviews, refuses reviews where the consumer was compensated, and scrubs inappropriate language and personal information before publishing.

Reviewers must be able to substantiate the interaction on request, and that is the whole argument. If the reviewer never bought anything, never booked anything and appears nowhere in your records, say so in writing and ask BBB to have the interaction substantiated.

File in writing with your local BBB office, then work what stays

BBB organisations are separately incorporated and services vary by region, so the dispute goes to the local BBB office that holds your profile. Send the criterion the entry fails and attach the records that prove it: invoices, job records, booking history, call logs, or the court filing. Then respond publicly to whatever remains.

Keep the two arguments apart. A removal request says the entry breaks a published rule. A resolution says you fixed the customer's problem. Running both at once weakens each, because a business negotiating a refund is confirming the marketplace relationship it is trying to deny.

For the entries that stay, your published response is the asset, and usually the only part of that page you still control.
